Let us start by saying: You're a rockstar! You've found Quip which is the first step in leading your team to the promised land. Undoubtedly, you've chosen the harder path. No, not because Quip is difficult to use, Quip is awesome. You can take our word for it ;). You've chosen the harder path because starting your team on a new tool means uprooting existing workflows, planting new ones, and helping your team grow into something bigger and better.

We commend you! We couldn't agree more with you – 'good enough' isn't really that great. Change is needed. We're here to help make your team's move to Quip seamless, exciting, and fun. Let's get started.

Some advice when onboarding your team to Quip

  • Be intentional. You know your team better than anyone so if the best solution is to just put it in their hands, go for it. If you're not so sure, read our guides, and prepare to share it with your team. That means educate yourself about Quip, follow our guides, and make a plan so your team can get a head start.
  • Start small. You don't have to roll Quip out to everyone in one go. Pick a few of your closer teammates. Form a pilot group. Get buy in and prove a few successful workflows. Once you've got the ball rolling, start inviting more teammates to Quip. Momentum is your greatest ally, so build some with your closest teammates first.
  • Don't overestimate your team's ability to pick up Quip. You have a busy team who just want to get their jobs done. Migrating to a new tool with new interfaces, capabilities, and concepts is a change regardless of how savvy your team is. Make it easy for everyone by being available to field questions, host a demo, and give tips and tricks as you learn them.
  • Build and unite your champions. It's been our experience that when people start using Quip, they love it. Empower those people to share their knowledge with others, invite their other teammates, and power adoption throughout your organization. Soon enough you'll have an army of champions.
  • Be active and available to your teammates. Especially in a large organization, you should actively help people figure out how their work, tasks, and goals can be accomplished with Quip. Ask people how they are going with Quip, if there is anything they are stuck on, and how you might be able to help. Share your vision for Quip so everyone can buy into it and get more work done together.

Ready to get your team on Quip? We're excited how much more connected and productive Quip will make your team. Before you share Quip with your team though, take a moment to think about what problem Quip is going to solve. It's more than likely Quip will catch on quickly, but greasing the wheels helps a lot. What is Quip solving that your team is going to be grateful for?

Focus on the one problem that Quip will solve for your teammates

You only need to solve for one key problem with Quip to get people interested in trying Quip. Make sure you understand the process you're trying to fix, improve, or even replace with Quip. Let's face it, your teammates are likely wonderful people, but they really only care about being able to do their jobs better, not the greater good of the company (although hopefully everyone is interested in that too). Nailing that one problem is going to go a long way in positioning Quip in your teammates' minds.

Here's a quick idea list of problems that Quip solves for individuals:

  • Too much email. Are you sick of fighting your email inbox everyday? When everyone is on Quip, it eliminates internal and team emails altogether. Hallelujah! All your work and communication is integrated in Quip docs so your team can work with greater context, closer connection, and better visibility.
  • Wasteful meetings. Ugh. How many of your recent meetings fizzled because the organizer didn't prepare an agenda? Or if you missed the meeting, how easy was it to catch up afterwards? Quip's living documents help organizers prepare and share agendas, and attendees capture notes to distribute afterwards. Assign action items to your notes and make your meetings launch pads for real, actionable work. No one has to say, 'Let's take this offline' either. With Quip it's all online so everyone is included.
  • Wasting time searching for files. Is your work scattered across too many tools? Are files trapped in long email threads? You’re probably all too familiar with the crazy_file_naming_conventions_4563.xls that suck the time from your day. Quip's living documents centralize your work and communication in one place while seamlessly tracking every change so it's easy to keep up with the plot. With all your work in Quip, you'll find your work the first time you look for it.
  • Poor project visibility. You know the drill. Never-ending status meetings that waste everyone's time. Last minute project scrambles. An inability to see the larger picture while tracking critical deliverables. Quip gives your team a single-source of truth to plan, track, and complete your biggest initiatives.


Start small to win BIG

You don't have to roll Quip out to everyone in your company all at once. Pick a few of your close teammates first to form a pilot group and test out Quip together. Once you've proven success with your pilot group, you can begin to invite more teammates in on the fun. Momentum is your greatest ally, so get Quip moving with a few people so you can roll it out to many more later. You'll be breaking through information barriers in no time at all.

Get your team on the same page document
The best thing you can do to build momentum in Quip is get your team into a document at the same time. This will give your team the opportunity to play around with all of Quip's editing and collaboration features. At the very least, let's make sure your team knows about these six features. They'll be hooked in no time.

1. Concurrent editing
We like to think of every document as a whiteboard - a place where anyone can walk up and contribute instantly. When you edit a document with other people you'll see their avatar inline. Those lines in the document are locked to the current editor so your work is always safe and you never overwrite each other.

2. @mentions
One of the benefits of having all your teammates and all of your work in one place is access. Quip gives you instant access to your teammates and your work in a single keystroke. If there's one key to try in Quip, it's @. Just like Twitter and Facebook, you can @mention teammates to bring their attention to a document, spreadsheet, or conversation.

3. Document sidebar
Every document or spreadsheet in Quip has a sidebar that tracks every edit, inline comment, and document-level message. This is where you can track the entire life of a document, starting from it's origin. What's great about this, is that you never have to worry whether a Quip doc is up-to-date because it is, it's alive.

4. Inline comments and threads
Quip is lightning fast. Imagine receiving a notification and jumping into a document to give feedback at the same speed as hopping into a Slack channel to respond to a teammate. Seriously, it's that fast. When you have all the context, you can close the loop in seconds. To get your teammate's attention immediately, @mention them in a comment and Quip will bring them in immediately to contribute.

5. Tasks and checklists
Quip documents are perfect for managing a team to-do list — assign tasks with @mentions, set deadlines with reminders, and keep track of everything that needs to be done to complete a project. To add a new checklist, type “@checklist”.

6. Embed spreadsheets in documents
In Quip, you can embed your spreadsheets in your team’s documents to give your data the context it needs to be useful – no more emails, meetings, or long presentations. Everything you need to know about your spreadsheet is in one place. Your team always has the full story – background, discussions, and highlights that live in the document and complement the data in your spreadsheet. You can even refer to data in your spreadsheets in the text of your documents by typing = and the cell name.
